The Event Planning Specialist is responsible forplanning, development and execution of key corporate meetings and events, as well ascreating and delivering marketing collateral needed to support these events/meetings. This position will cover a wide-range of marketing and event management functions including writing, editing

and developing branded material associated with events, maintaining event metrics, negotiating contracts, coordinating event project requests and logistics as well as managing event budgets. This is a highly visible marketing position both internally and externally.

Must be able to work well with senior level staff.

Essential Functions

  • Manage coordination of all corporate branded events such as annual Kickoff Meeting, company employee events (outings, holiday functions, retirements, and anniversaries), Operations meetings and coordinate presence at industry trade shows.

  • Work collaboratively with department team members on coordinating large scale meetings and events, and interfacing with executives, as needed.

  • Prepare project (events) timelines and action calendars to ensure all deliverables are achieved and expectations are met.

  • Work collaboratively with the development of event content to support launches, initiatives and campaigns.

  • Source event services and select appropriate venues to deliver the desired participant experience. Negotiate rates and pricing with service vendors ensuring that all event goals and expectations are met within the budgetary guidelines.

  • Work to ensure messaging, branding and execution are consistent for all corporate events.

  • Collaborate with the graphic designer, work to produce event marketing content for style, structure and brand consistency.

  • Coordinate and assist with developing PowerPoint presentations for both internal and external events/meetings.

  • Manages evaluation of event metrics to measure effectiveness ; maintains multiple tracking tool for ROI on events and projects ; provides accurate reports based on meeting budgets; manages invoices and post event budget reconciliation.

  • Develop and implement post-event surveys/evaluations and act on the results to continually improve the delivery of event goals and the overall participant experience.

  • Responsible for driving the Satellite Healthcare culture through values and customer service standards.

  • Accountable for outstanding customer service to all external and internal customers.

  • Develops and maintains effective relationships through effective and timely communication.

  • Takes initiative and action to respond, resolve and follow up regarding customer service issues with all customers in a timely manner.


Minimum Qualifications

Any combination of education and experience that would likely provide the required knowledge, skills, and abilities as well as possession of any required licenses or certifications is qualifying.

Education: Bachelor’s degree; concentration in Marketing, Communications, or Restaurant/Hospitality management preferred


  • Two to Three years’ event marketing, corporate communications or hospitality service experience

  • Meeting Management Certification desirable

Knowledge, Skills & Abilities:

  • Understanding of marketing including positioning, promotions, research, and community outreach

  • Strong self-initiative and time management, project management, and organizational skills

  • Possess a positive, professional maturity that thrives in a high-energy environment

  • Ability to handle multiple tasks simultaneously, while meeting deadlines consistently

  • Proficient in Windows based applications (Excel and PowerPoint, highly preferred)

  • Desktop publishing (Photoshop, InDesign & Illustrator)

  • Knowledge of event registration software

  • Knowledge of social media to promote events

  • Ability to travel locally and nationally
